These Terms of Use apply to the QuickBooks Online integration operated by Ethical Workforce Solutions Limited (“we”, “us” or “our”). They should be read alongside our general website terms and privacy information.
1. About us

2. Purpose of the integration
The integration connects our authorised Microsoft Access CRM with our QuickBooks Online company. It is an internal business tool used to:
- retrieve relevant QuickBooks reference data, including bank, income account and VAT/tax code information;
- review bank receipts against records held in our CRM;
- allow an authorised user to select the appropriate VAT category and income account;
- create Sales Receipt entries in QuickBooks Online after approval; and
- record posting identifiers, status and audit information to reduce duplicate processing.
Our Access CRM remains the system in which customer invoices and invoice records are created and maintained. The integration does not create customer invoices in QuickBooks Online.
3. Authorised use
The integration is for use only by our authorised personnel and service providers acting on our instructions. Users must keep their access credentials secure, follow our internal procedures and must not attempt to access or use the integration for any unauthorised or unlawful purpose.
4. QuickBooks authorisation
Access to QuickBooks Online is provided through Intuit’s authorisation process. We do not ask users to disclose their QuickBooks password to the integration. Authorisation may be withdrawn through QuickBooks or by asking us to disconnect the integration. Some functions will no longer work after access is withdrawn.
5. Review and accounting responsibility
The integration supports administrative processing but does not provide accounting, tax or legal advice. Suggested matches, VAT categories and income accounts must be reviewed by an authorised user before posting. We remain responsible for checking the accuracy and completeness of entries made in our accounting records.
6. Availability and changes
We may maintain, update, suspend or discontinue all or part of the integration where reasonably necessary, including for security, legal, technical or operational reasons. Availability may also depend on Microsoft, Intuit QuickBooks Online, internet connectivity and other third-party services.
7. Data protection and security
Personal data used by the integration is handled in accordance with our QuickBooks Integration Privacy Policy and applicable data-protection law. Users must not introduce information that is unnecessary for the integration’s stated purpose.
8. Intellectual property
All intellectual-property rights in the integration and its supporting materials belong to us or our licensors. No rights are granted other than the limited right for authorised users to operate the integration for our internal business purposes.
9. Suspension and termination
We may suspend or remove access where this is reasonably required to protect data, systems or users; respond to suspected misuse; comply with law; or end the integration. On termination, authorisation tokens and access should be revoked and retained information will be handled under our retention obligations.
10. Liability
Nothing in these terms excludes liability that cannot legally be excluded. Subject to that, we are not liable for losses caused by unauthorised use, incorrect information supplied by a user, failure to review an entry before approval, or interruption or change to a third-party service outside our reasonable control.
11. Governing law
These terms are governed by the laws of England and Wales. The courts of England and Wales will have jurisdiction, subject to any mandatory legal rights that apply.
